Managing Broadcast distribution list

The Schedule Management page allows modifying Broadcast schedule but not the distribution list. To update the recipients we go back to the report itself to add/remove email addresses. It would be much preferable to update all details related to the broadcast from the Schedule Management page. I am looking at a migration from another BI system where that client has nearly 200 reports scheduled, having more than 3500 extrapolated recipient x delivery instances each month.

Currently, the Schedule Management page in Yellowfin allows you to view and delete scheduled tasks but does not support modifying the distribution list directly. Need is a subjective term. We want this and it would be a welcome addition. But it is not a hard requirement.

But if you have a list of companies requesting this feature, please do add us.

As we have not yet delved into the Repository data, that would be my next thought. Could we possibly update the distribution lists with SQL code.

Thank you for your patience. Could you please clarify whether the broadcasts for the 200 reports have already been set up, and you now only need to update or modify the recipients? Or are you looking to add multiple recipients to each broadcast?


In Yellowfin, user groups are collections of users that have been set up within the system. These groups allow you to send reports to multiple users at once, making it easier to manage and distribute content. For more detailed information, you can visit the Yellowfin documentation here.

As I mentioned, we are looking at migrating a client from another BI system to Yellowfin. I am doing a gap analysis so we can determine what changes would be needed to accommodate their needs and current capabilities using Yellowfin. Managing scheduled reports is a big part of their business and this aspect of Yellowfin appears to present challenges. Having 200+ schedules spread out across the landscape rather than only in a central location is a new concept for them (and us) plus working in two different places (with the report and the Schedule Manager) for updates to each schedule raises concerns.

Thank you for your patience. We have received an update from our Product Team that the best approach is to efficiently manage report distribution using user groups, as they are a vital element of Yellowfin security and broadcast processes.

1) Organize users into relevant groups, such as "Weekly_report_recipients" or "Marketing_report_recipients." and Use the Admin Console to add or remove users from these groups as needed, allowing easy updates to who receives specific reports.
2) Choose the report or dashboard you want to broadcast and Click on the Broadcast option and create a new broadcast. Instead of adding individual users, select the user group as the recipient, ensuring all members of the group receive the broadcast.
3) Modify group memberships by adding or removing users, automatically updating the broadcast recipients and we can easily update the recipient list by modifying group memberships without changing the broadcast settings. For more detailed information, you can visit the Yellowfin documentation

We manage the schedules with group in the other system and I know we can do that with Yellowfin too. There are several reasons why this approach is less effective and I would be happy to explain how this and other Yellowfin improvements would make using and managing the system much more effective. As the feedback from development is how to live within the existing limits, I will accept that this is how Yellowfin works and move on. You are welcome to close the ticket. Thanks.
